Key Responsibilities:
Greeting and Assisting Visitors:
Welcome visitors, clients, and employees in a friendly and professional manner.
Answer inquiries and direct visitors to the appropriate person or department.
Maintain a clean and organized reception area.
Answering Calls:
Operate the phone system, answer incoming calls, and transfer them to the correct personnel or department.
Take accurate messages and ensure they are delivered promptly.
Administrative Support:
Manage the front desk schedule, appointments, and visitor logs.
Handle basic administrative tasks such as filing, photocopying, and scanning documents.
Distribute incoming mail and packages and manage outgoing mail or courier services.
Security and Visitor Management:
Monitor visitor access and maintain security protocols, such as issuing visitor badges or ensuring proper sign-ins.
Notify security or management of any unusual activities or concerns.
Customer Service:
Address guest or client complaints professionally and escalate unresolved issues to management.
Provide information about services, facilities, or directions as required.
Coordination with Staff:
Communicate effectively with office staff or other departments to ensure smooth operations.
Assist with scheduling meetings and coordinating with vendors when needed.
