Transportation Coordinator – Heavy Equipment Rental Division

Job Purpose:
The Transportation Coordinator is responsible for planning, organizing, and overseeing the movement of heavy equipment and machinery for the rental division. This role ensures timely, safe, and cost-effective transportation in compliance with company policies, client requirements, and local regulations.
Key Responsibilities:
Transportation Planning & Scheduling
Coordinate daily dispatch, routing, and scheduling of heavy equipment to project sites.
Maintain an updated transportation plan to ensure optimal fleet utilization.
Monitor equipment availability and schedule movements according to project timelines.
Fleet & Driver Coordination
Assign and supervise drivers/operators for safe and efficient delivery of equipment.
Ensure proper documentation, permits, and licenses for vehicles and operators.
Track fleet movements using GPS/transport management systems.
Compliance & Safety
Ensure compliance with traffic, transport, and safety regulations (including Saudi transport rules, if applicable).
Conduct pre-movement checks for equipment securing, load permits, and route approvals.
Report and investigate any transport-related incidents or delays.
Communication & Client Coordination
Act as a focal point between clients, drivers, and operations to confirm delivery/collection schedules.
Handle client inquiries regarding delivery status and resolve transport-related issues.
Provide regular updates to project teams on equipment mobilization and demobilization.
Documentation & Reporting
Prepare and maintain transport records including delivery notes, trip sheets, and invoices.
Maintain accurate logs of fuel consumption, mileage, and maintenance schedules.
Generate periodic reports on fleet performance, transport costs, and equipment utilization.
Qualifications & Skills:
Bachelor’s degree or diploma in Logistics, Supply Chain, Business Administration, or related field (preferred).
Minimum 3–5 years of experience in transportation/logistics, preferably in the heavy equipment rental or construction industry.
Strong knowledge of heavy equipment mobilization requirements, permits, and transport regulations.
Proficiency in MS Office and logistics/transport management software.
Excellent organizational and multitasking skills.
Strong communication and problem-solving abilities.
Ability to work under pressure and handle urgent mobilization demands.
