Job Description

A Secretary is responsible for providing administrative support to ensure the smooth functioning of an office or organization. The role involves managing schedules, handling correspondence, organizing meetings, maintaining files, and performing various clerical tasks. Secretaries play a key role in maintaining an efficient and organized work environment.

Key Responsibilities:

Manage and organize the executive’s calendar, schedule meetings, and appointments.
Handle phone calls, emails, and other correspondence on behalf of executives or departments.
Prepare and edit documents, reports, presentations, and other materials.
Coordinate meetings, including setting up conference rooms, preparing agendas, and taking meeting minutes.
Organize and maintain office filing systems, ensuring documents are easily accessible.
Greet visitors, clients, or staff members, and direct them to the appropriate departments or individuals.
Assist with travel arrangements, including booking flights, hotels, and transportation.
Handle office supplies and ensure inventory is well-stocked.
Perform general office tasks, including photocopying, scanning, and managing incoming and outgoing mail.
Assist other team members with administrative tasks as needed.

Skills and Qualifications:

Proven experience as a Secretary or in a similar administrative role.
Strong organizational and time-management skills.
Proficiency in office software (Microsoft Office Suite, Google Workspace).
Excellent communication skills, both written and verbal.
Ability to multitask and manage competing priorities.
